The opening hours of the administration are Monday to Friday from 8 a.m. to 4 p.m. (Moroccan time). The staff will be able to answer you during these hours.

The telephone numbers of the staff will be communicated to you during the final registration.

We inform you that the installation of WhatsApp is necessary to be able to follow the courses in our institute.

A WhatsApp group is open for each teacher, we add the respective students of each, in this group. You must respect the personal information of teachers and students and not contact each other. This group aims to facilitate administration and communication: sending the schedule, class number, information specific to the teacher or the administration. However, it is not a discussion group, in case of delay, absence or other, you will have to communicate with the teachers in private.

For communication, non-Arabic speakers can use French/English translators if the teacher does not understand French. The administration will assist you in case of major communication problems.

 

MONTHLY SESSIONS : RENEWALS / PAYMENTS           

  • For new registrants, classes only start after payment of fees (test, if necessary, session and books). If a session starts after the 1st day of the month, its amount is calculated in proportion to the remaining days of the current month.
  • The price of the monthly session is calculated with a coefficient of approximately 4.33, which is the average of the number of weeks per month over an entire year (52 weeks per year, divided by 12 months = 4.33 weeks / month) and this in order to have the same amount to pay each month.
  • The prices of our courses may be subject to change from one school year to another.
  • The session is payable monthly, it begins on the 1st day of the month and ends on the last.
  • Payment for a new session is made between the 1st and 7th of the month.
  • Sessions are automatically renewed from month to month. Stops are made at the end of the month. In case of interruption, it is imperative to notify the administration at least 10 days before the start of a new session. Otherwise, the amount of one week of lessons for the following session will be charged.
  • Any session paid for and started is non-refundable.
  • For PayPal payments, bank transfers or other, the surname and first name of the student must be stipulated during the payment in the message or title part.
  • All transaction costs are the responsibility of the student, we are not responsible for any problem concerning payments, misuse of the PayPal site, loss of a check or other.

 

 

Particularities of pairs and groups outside of classes:

All students in pairs and groups commit to the full duration of the study of the book and to the total price of this session ((ex: An-nouraanyah price of study of the complete book: ex 30h) (this is a commitment to other students and to the institute).

However, it is possible for students whose group has been formed on their own initiative to end the study of a book before its end, provided that all the members of this group agree and this by respecting the conditions. session shutdowns mentioned above.

  • For all other pairs and groups (study of a book without a predefined number of hours) students will pay monthly as for the other sessions.

 

ABSENCES AND DELAYS

Attendance and punctuality are necessary, in particular for the smooth running of lessons and the progress of students.

 

  • Students in individual lessons, pairs, and groups:

Any delay or absence of students will be counted and not made up except with medical proof. In this case, it will be necessary to inform the teachers of this absence before the course and to make up for it before the end of the month, according to the possibilities of the teachers.

 

  • Teachers :

In case of delay of the teacher, the student must wait for 15 minutes and check his mailbox, beyond that, you will have to send a message to the teacher and the administration with the screen photo of the closing of the class with the schedule to be able to disconnect, and thus not be charged, otherwise the course will be counted.

 

If the teacher is late, it can be made up after your lesson, if the teacher and you have the opportunity.

For individual lessons or pairs and groups (monthly sessions). Any delay or absence of the teacher can be made up for before the end of the month and depending on your availability, if it could not be made up for, it will then be deducted from your session on the following session or refunded in case of discontinuation of classes.

It is possible that during the course, the connection with the teacher is interrupted. If the latter were to « disappear » from the class, the student would then be required to wait for 15 minutes while checking the messaging system and waiting for the link to return. Once this waiting time has elapsed, send a message to the teacher indicating that you are disconnecting.

In the event of a slight break or slight delay, this time will be made up at the end of the lesson if possible, by the teacher and the student.

 

THE ZOOM VIRTUAL CLASSROOM

  • We use the ZOOM platform. This platform can be used on computer, tablet and phone. The telephone is not recommended. Students must create a free account in their name on this site https://zoom.us/.

 

Steps to follow:

  • Select the « package and pricing » section then choose the « free » option. https://zoom.us/pricing
  • Register with the same email address as the one mentioned in the registration form.
  • Once the account has been created, add the email address of the teachers (provided after registration) in the « contact » section of your Zoom account.
  • To join a meeting, click « on join a meeting » and write the number assigned to each teacher. https://zoom.us/join  or join the meeting directly from the class link.
  • Once in the class, click on « join the audio by computer » (if computer) or « call via the sound of the device » (if tablet and telephone).
  • The operation of the program will be explained to you by the administration before the start of the course, if necessary.

 

EQUIPMENT AND WORKSPACE

  • The child must be installed in good conditions (in a closed, bright room with no surrounding disturbances as well as on a desk).
  • Make sure your child has all his equipment before starting the lesson (books, notebooks, pens, etc.) and that he has gone to the toilet beforehand.
  • Classes can be given on computers or tablets; the tablet must be used with a support so that it is stable and avoids the student putting it on his knees.
  • To be able to participate in the lessons correctly you must have a Broadband Internet connection. Connection sharing is not recommended (risk of cuts).

Each student or person responsible for the child must ensure that the equipment is in good working order before each lesson by carrying out the following actions:

 

  • Check that the microphone and headset are properly connected and in good working order.
  • Close programs unrelated to the course as well as devices connected to Wi-Fi (risk of interference).
  • In case of inability to enter the class, you must systematically send a message on the teacher’s WhatsApp. And if it persists, to the administration.
  • If this procedure is not respected, we will not be held responsible, and the course will be invoiced.

 

GENERAL ORGANIZATION OF STUDIES

  • The courses are supervised by our institute at the academic, pedagogical, and organizational level.
  • Parents are responsible for their children in terms of punctuality, behavior, supervision of homework and follow-up.
  • Assignments will be sent on WhatsApp at the end of each lesson.
  • It is mandatory for the student to fulfill all the homework given by the teacher. These must be photographed and sent to the teacher on WhatsApp in private, no later than the day before the next lesson.
  • We strongly advise you to install WhatsApp on your computer. You will be able to directly download books and sent files.
  • Assignments will be sent on WhatsApp at the end of each lesson.
  • It is mandatory for the student to fulfill all the homework given by the teacher. These must be photographed and sent to the teacher on WhatsApp in private, no later than the day before the next lesson.
  • For children who are not autonomous in front of a computer (for the use of the computer tool but also if the child is too restless), the presence of the mother is compulsory throughout the course.
  • For autonomous children, we still ask a parent to be present at the start of each lesson to ensure the proper functioning of the equipment.
  • No male or adolescent (pubescent) should enter the teachers’ classroom. It is also forbidden for a man to speak to the teachers, even if the mother cannot communicate properly with one of them. You will then have to go back to the administration in the event of a problem.
  • No one, except the student, his mother or his representative can attend a lesson without the authorization of the administration.
  • In the event of the absence of a student from a pair or group, the student may ask the teacher to obtain a recording of the missed lesson.
  • All lesson recordings are strictly confidential and should therefore not be transmitted to anyone other than the student. Once used, this record must be obligatorily erased.
  • All the supports of our institute (courses, explanations, homework, exams or other) are specific to our institute. It is therefore strictly forbidden to use them outside the framework of our courses or to transmit them to anyone.
  • Any comments regarding the operation and organization of the courses should be made only to the administration.

 

TEACHERS

  • The student participating in the courses of our institute undertakes to adopt an appropriate behavior and in accordance with Islamic morality, in the event of absence you will have to send a message to the teacher in order to prevent her.
  • Most teachers do not turn on their camera, they use a red cursor to follow their directions.
  • Contact between students (as well as their families or their representatives) and teachers is strictly prohibited outside the framework of our institute. If necessary, the administration must first be informed.
  • Teachers’ personal contact information is confidential. It is therefore strictly forbidden to communicate them to anyone.
  • It is also strictly forbidden to solicit a teacher outside the framework of our institute, for the student herself or in favor of a third party. This rule is valid during the student’s course in our institute as well as after leaving it.
  • A questionnaire of appreciation of the teachers and our administration will be sent to you during registration, you can fill it out and send it back to us at the end of the month if you wish.

 

SLOTS

  • During their course, each student has the possibility of modifying their lesson times or stopping lessons, by contacting our administration. This request must be made 10 days before the end of the session and will only be effective at the beginning of the following month. We will make every effort to satisfy your request, but no changes will be taken into account during the month and without prior confirmation.
  • We would like to point out that lesson times may be subject to change depending on the different timetable changes depending on the country (especially when switching to summertime), the basis is that the student must adapt if there is a change in their country in order to stay on the teacher’s time slot, although we will try to make it easier for you.

 

 

LEAVE AND REST

  • The annual holidays of the Baytouna Madrassa Institute take place:
  • The whole month of Ramadan + Eid day and some days.
  • Aïd El Adha: Eid day + a few days.
  • The holiday dates for this month will be communicated to you. During Ramadan the institute and the administration are closed except for certain teachers, certain courses can be maintained following your request, please inform us beforehand.
  • If you request leave, you will be entitled to 1 unbilled week per quarter, while keeping your time slots. Beyond that, you will have to pay the difference of the additional holidays if you wish to keep your places.
  • If the student wishes to take extended holidays (session interruption at the end of the month), the student’s time slots may be assigned to another person.

 

EVALUATIONS

Evaluations are organized during each level and at the end of it. The student must pass them and obtain, at least an average of 70%, in order to be able to access the higher level of study.

 

 

This regulation is a very important document that contributes to the proper functioning of our institute and improves the quality of relations between all users of Baytouna Madrassa: teachers, students, parents, members of the administration and management.

The mention « read and approved » constitutes a commitment and a deposit.
